Rental Agreement
Terms and Conditions of Hire
Version 2.0 — July 2026 · Governed by the laws of England and Wales
This Rental Agreement (the "Agreement") is entered into between KAMERALENDS (a private limited company, "we", "us", "our") and the individual making the booking (the "Customer", "you"). By completing a booking on the KAMERALENDS website, you confirm that you have read, understood, and agree to be bound by this Agreement.
1. Definitions
| Term | Meaning |
|---|---|
| "Equipment" | The compact digital camera, memory card, camera case/pouch, charging cable, and any accessories provided by us as part of the rental. |
| "Rental Period" | The period beginning at handover and ending at the agreed return time, as confirmed in the Booking Confirmation. |
| "Booking Confirmation" | The confirmation email sent following a completed booking, setting out the rental date, pick-up time, return time, and Equipment details. |
| "Rental Fee" | The fee payable for the hire of the Equipment, as displayed at the time of booking. |
| "Payment Method" | The debit or credit card securely stored by Stripe following a completed booking, which you authorise us to charge for damage to, loss of, or non-return of the Equipment as set out in this Agreement. |
| "Replacement Value" | The cost to us of replacing the Equipment with an equivalent item, up to a maximum of £200 (inclusive of all accessories). |
| "Condition Record" | The photographic evidence of the Equipment's condition taken by us at handover and sent to you. |
2. Eligibility and Identity Verification
You must be aged 18 or over at the time of booking. Accepted forms of photo ID are a valid UK or international passport, a UK driving licence (full or provisional), or an EEA national identity card. The name on the payment card must match the name on the ID.
Identity is verified digitally at the time of booking via Stripe Identity, which compares your government-issued photo ID against a real-time selfie. This is carried out in accordance with our Privacy Policy, including the explicit consent we ask you to give for any biometric element. If your identity cannot be verified, the booking will not proceed and any payment will be refunded in full.
You must still present valid photo ID at handover matching the name on your booking, but we do not photograph your ID document at that point — identity verification is completed digitally via Stripe Identity at the time of booking.
3. Booking and Payment
Bookings are made through our website. The Rental Fee is payable in full at the time of booking, processed securely through Stripe. We do not store full card details.
Authority to charge. At booking, your Payment Method is securely saved by Stripe. By completing a booking you expressly authorise us to charge that Payment Method for damage to, loss of, or non-return of the Equipment, strictly as set out in Clauses 6 and 7 and in our Liability Terms. Any such charge will reflect the actual cost we reasonably incur and will not exceed the amount assessed under those provisions; it is not a penalty. We will notify you by email, with a breakdown and supporting evidence, before or at the time of any charge.
A booking is confirmed only when you receive a Booking Confirmation. We reserve the right to decline any booking at our discretion, refunding any payment in full.
4. Handover, Return, and Late Return
The Equipment will be made available for collection at the designated pickup point specified in the Booking Confirmation. At handover, you must present valid photo ID and confirm receipt of the Equipment.
We will provide a Condition Record (photographs of the Equipment's condition) at handover, sent via WhatsApp, SMS, or email. You have 30 minutes from receipt to report any pre-existing damage by replying to that message. After 30 minutes, the Equipment is deemed to have been accepted in the condition documented.
The Equipment must be returned by the return time specified in the Booking Confirmation, including all items (camera, memory card, case/pouch, and charging cable).
Late return. If the Equipment is not returned within one hour of the agreed return time, a late return fee of £10 will be charged. We will attempt to contact you as soon as the Equipment becomes overdue.
No contact / no return. If the Equipment has not been returned and we have received no contact from you within 24 hours of the agreed return time, the Equipment will be treated as lost or stolen. The Replacement Value (up to £200) will become due, and we may report the matter to the police. The late return fee will be deducted from the Replacement Value charge so that you are not charged twice.
If you return the Equipment after it has been treated as lost or stolen: where you return the Equipment undamaged and in working order, we will refund the Replacement Value charge, less the £10 late fee and any reasonable, evidenced administrative or recovery costs we have actually incurred. Where the Equipment is returned damaged, the relevant damage charge under Clause 7 will apply instead of the full Replacement Value. We will not retain the full Replacement Value for Equipment that has been returned to us in good condition.
5. Customer Responsibilities
You must take reasonable care of the Equipment during the Rental Period. The Equipment remains our property at all times. You must not:
- Submerge the Equipment in water or expose it to excessive moisture, sand, dust, or extreme temperatures
- Drop, strike, crush, or subject the Equipment to physical impact
- Attempt to disassemble, modify, or repair the Equipment
- Remove, obscure, or alter any labels, stickers, or identification marks
- Lend, sub-hire, or transfer the Equipment to any third party
- Use the Equipment for any commercial purpose without our prior written consent
- Use the Equipment for any unlawful purpose
You are responsible for transferring any photographs or data from the memory card before returning the Equipment. We format the memory card after every rental and accept no responsibility for any data remaining on the card after return.
6. Loss and Theft
If the Equipment is lost, stolen, or not returned in accordance with this Agreement, you are liable for the Replacement Value (up to £200). In the event of theft, you must report it to the police as soon as reasonably practicable and provide us with a crime reference number within 48 hours, or as soon as the police issue one if later. Where a valid crime reference number is provided, we will review the circumstances on a case-by-case basis and may, at our discretion, reduce your liability where the theft occurred despite you taking all reasonable precautions. We may charge the Payment Method for the Replacement Value; if the charge cannot be processed, we may invoice you for the outstanding balance, payable within 14 days.
7. Damage
You are liable for any damage beyond normal wear and tear during the Rental Period. Normal wear and tear means minor surface scuffs consistent with standard, careful use. We will inspect the Equipment on return against the Condition Record and notify you of any damage within 48 hours, with photographic evidence and a written assessment. Charges reflect the actual repair or replacement cost we incur and are not punitive.
| Category | Description | Customer liability |
|---|---|---|
| Minor damage | Cosmetic damage that does not affect functionality (e.g. small scratches on the camera body) | No charge |
| Moderate damage | Damage that affects functionality but is economically repairable (e.g. scratched lens, cracked screen, faulty button, damaged charging port) | Cost of repair, up to £75 |
| Severe or irreparable damage | Damage that renders the Equipment beyond economical repair, or where repair would exceed 75% of the Replacement Value | Full Replacement Value, up to £200 |
Charges are based on actual quotes from reputable repair providers; we will seek the most cost-effective option. If multiple items are damaged, each is assessed separately, but total liability will not exceed £200. If you dispute an assessment, you must notify us in writing within 7 days of receiving it; the dispute process in our Liability Terms then applies.
8. Cancellation and Refunds
This Clause applies in addition to any statutory cancellation right you have as a distance-selling consumer (see our Terms & Conditions). For changes of mind, refunds are calculated on the notice given before the scheduled pick-up time:
| Notice given | Refund |
|---|---|
| 48 hours or more before pick-up | 100% — full refund |
| 24 to 48 hours before pick-up | 50% — partial refund |
| Less than 24 hours before pick-up | No refund |
If you fail to attend the agreed handover without prior notice, the Rental Fee is non-refundable. We may cancel a booking at any time before handover, in which case you receive a full refund. Nothing in this Clause affects any non-excludable statutory right. Our full Cancellation & Refund Policy is available separately.
9. Equipment Malfunction
If the Equipment develops a fault through no fault of yours, contact us as soon as reasonably practicable. We will, at our discretion and subject to availability, offer a replacement camera, a full refund of the Rental Fee, or a credit toward a future booking. We do not guarantee uninterrupted functionality, but this does not affect your statutory rights.
10. Limitation of Liability
Subject to the paragraph below, our total liability to you under or in connection with this Agreement shall not exceed the Rental Fee paid for the relevant booking, and we are not liable for indirect or consequential loss, including loss of photographs or data, loss of enjoyment, or loss of anticipated content.
Nothing in this Agreement excludes or limits our liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited by law. Nothing in this Agreement affects your statutory rights under the Consumer Rights Act 2015, including the right to services performed with reasonable care and skill. Where any limitation in this Clause would conflict with those rights, your statutory rights prevail.
11. Data Protection
We collect and process personal data in connection with this Agreement, including your name, contact details, payment information, condition photographs, and booking history, all in accordance with our Privacy Policy. Condition photographs taken at handover are stored securely and deleted within 30 days of satisfactory return, or retained until any dispute is finally resolved.
12. General
This Agreement, together with the Booking Confirmation, Terms & Conditions, Liability Terms, and Privacy Policy, constitutes the entire agreement between the parties in respect of the rental. In the event of conflict, this Agreement takes precedence, followed by the Liability Terms, then the Terms & Conditions. If any provision is found invalid or unenforceable, the remaining provisions continue in full force. A failure to enforce any provision is not a waiver of the right to do so in future. This Agreement is governed by the laws of England and Wales, and disputes are subject to the exclusive jurisdiction of the courts of England and Wales (you may also bring proceedings locally if you live in Scotland or Northern Ireland). Nothing in this Clause limits liability for misrepresentation or affects your statutory rights.
13. Contact and Acceptance
For any questions or disputes relating to this Agreement, contact us at kameralends@gmail.com or via our contact page.
By completing a booking on the KAMERALENDS website, you confirm that you have read and understood this Agreement, are aged 18 or over, will present valid photo ID at handover, authorise us to save and (where the conditions in this Agreement are met) charge your Payment Method for damage to, loss of, or non-return of the Equipment, and accept liability as described. This Agreement does not need to be signed separately — completion of a booking constitutes acceptance.
