Rental Agreement
Terms and Conditions of Hire
Version 1.0 — March 2026 · Governed by the laws of England and Wales
This Rental Agreement (the "Agreement") is entered into between KAMERALENDS (trading as a sole trader) and the individual making the booking (the "Customer"). By completing a booking on the KAMERALENDS website, you confirm that you have read, understood, and agree to be bound by the terms of this Agreement.
1. Definitions
| Term | Meaning |
|---|---|
| "Equipment" | The compact digital camera, memory card, camera case/pouch, charging cable, and any accessories provided by KAMERALENDS as part of the rental. |
| "Rental Period" | The period beginning at handover and ending at the agreed return time, as confirmed in the Booking Confirmation. |
| "Booking Confirmation" | The confirmation email sent following a completed booking, setting out the rental date, pick-up time, return time, and Equipment details. |
| "Rental Fee" | The fee payable by the Customer for the hire of the Equipment, as displayed at the time of booking. |
| "Payment Method" | The payment method (debit or credit card) securely stored by Stripe following completion of a booking. By completing a booking, the Customer authorises KAMERALENDS to charge this payment method for any damage to or loss of the Equipment during the Rental Period, as set out in this Agreement. |
| "Replacement Value" | The cost to KAMERALENDS of replacing the Equipment with an equivalent item, up to a maximum of £175 (inclusive of all accessories). |
2. Eligibility
The Customer must be aged 18 or over at the time of booking. Valid photo identification must be presented at the point of handover. Accepted forms of ID are: a valid UK or international passport, a UK driving licence (full or provisional), or an EEA national identity card.
At the point of handover, KAMERALENDS will photograph the Customer's identification document and take a photograph of the Customer holding the document. This is for verification and fraud prevention purposes and is handled in accordance with our Privacy Policy.
If the Customer cannot provide valid photo ID at handover, the rental will not proceed and the booking will be treated as a cancellation under Clause 8. The name on the payment card used to make the booking must match the name on the ID presented at handover.
3. Booking and Payment
Bookings are made through the KAMERALENDS website. The Rental Fee is payable in full at the time of booking, processed securely through Stripe. KAMERALENDS does not store full card details.
At the time of booking, the Customer's payment method will be securely saved by Stripe as a condition of the booking. By completing a booking, the Customer expressly authorises KAMERALENDS to charge this Payment Method for any damage to or loss of the Equipment as set out in Clauses 6 and 7. Payment method details are stored and managed by Stripe in accordance with PCI-DSS standards. The Customer will be notified by email before or at the time of any such charge.
A booking is confirmed only when the Customer receives a Booking Confirmation. KAMERALENDS reserves the right to decline any booking at its discretion.
4. Delivery, Collection, and Return
The Equipment will be made available for collection at the designated pickup point specified in the Booking Confirmation. At handover, the Customer must present valid photo ID and confirm receipt of the Equipment.
KAMERALENDS will provide photographic evidence of the Equipment's condition at the point of handover, sent via WhatsApp, SMS, or email. The Customer has 30 minutes from receipt to report any pre-existing damage. After 30 minutes, the Equipment is deemed to have been accepted in the condition documented by KAMERALENDS.
The Equipment must be returned by the return time specified in the Booking Confirmation. All items forming part of the Equipment (camera, memory card, case/pouch, and charging cable) must be returned.
Late returns: If the Equipment is not returned within one hour of the agreed return time, a late return fee of £10 will be charged. KAMERALENDS will attempt to contact the Customer as soon as the Equipment becomes overdue.
No contact / no return: If the Equipment has not been returned and KAMERALENDS has received no contact from the Customer within 24 hours of the agreed return time, the Equipment will be assumed stolen. The full Replacement Value (up to £175) will become immediately due, and KAMERALENDS reserves the right to report the matter to the police. The late return fee will be deducted from the Replacement Value charge so the Customer is not charged twice. If the Customer subsequently returns the Equipment after it has been classified as stolen, KAMERALENDS will review the circumstances but is not obligated to reverse the Replacement Value charge.
5. Customer Responsibilities
The Customer must take reasonable care of the Equipment during the Rental Period. The Equipment remains the property of KAMERALENDS at all times.
The Customer must not:
- Submerge the Equipment in water or expose it to excessive moisture, sand, dust, or extreme temperatures
- Drop, strike, crush, or subject the Equipment to physical impact
- Attempt to disassemble, modify, or repair the Equipment
- Remove, obscure, or alter any labels, stickers, or identification marks
- Lend, sub-hire, or transfer the Equipment to any third party
- Use the Equipment for any commercial purpose without the prior written consent of KAMERALENDS
- Use the Equipment for any unlawful purpose
The Customer is responsible for transferring any photographs or data from the memory card before returning the Equipment. KAMERALENDS will format the memory card after every rental and accepts no responsibility for any data remaining on the card after return.
6. Loss and Theft
If the Equipment is lost, stolen, or not returned in accordance with this Agreement, the Customer is liable for the full Replacement Value (up to £175). In the event of theft, the Customer must report it to the police as soon as reasonably practicable and provide KAMERALENDS with a crime reference number within 48 hours.
KAMERALENDS may charge the Payment Method for the Replacement Value. If the charge cannot be processed, KAMERALENDS reserves the right to invoice the Customer for the outstanding balance, payable within 14 days.
7. Damage
The Customer is liable for any damage beyond normal wear and tear during the Rental Period. Normal wear and tear means minor surface scuffs consistent with standard, careful use. KAMERALENDS will inspect the Equipment upon return against the photographic record taken at handover and will notify the Customer of any damage within 48 hours.
| Category | Description | Customer Liability |
|---|---|---|
| Minor damage | Cosmetic damage that does not affect functionality (e.g. small scratches on the camera body) | No charge |
| Moderate damage | Damage that affects functionality but is repairable (e.g. scratched lens, cracked screen, faulty button) | Cost of repair, up to £75 |
| Severe or irreparable damage | Damage that renders the Equipment beyond economical repair | Full Replacement Value, up to £175 |
If the Customer disputes a damage assessment, they must notify KAMERALENDS in writing within 7 days of receiving the assessment. If the dispute cannot be resolved, either party may refer the matter to small claims mediation.
8. Cancellation and Refunds
Refunds are calculated based on how much notice is given before the scheduled pick-up time:
| Notice given | Refund |
|---|---|
| 48 hours or more before pick-up | 100% — full refund |
| 24 to 48 hours before pick-up | 50% — partial refund |
| Less than 24 hours before pick-up | No refund |
If the Customer fails to attend the agreed handover without prior notice, the Rental Fee is non-refundable. KAMERALENDS reserves the right to cancel a booking at any time prior to handover, in which case the Customer will receive a full refund. Our full Cancellation & Refund Policy is available separately.
9. Equipment Malfunction
If the Equipment develops a fault or malfunction during the Rental Period through no fault of the Customer, the Customer should contact KAMERALENDS as soon as reasonably practicable. KAMERALENDS will, at its discretion, offer a replacement camera (subject to availability), a full refund of the Rental Fee, or a credit toward a future booking. KAMERALENDS does not guarantee uninterrupted functionality and is not liable for any loss or inconvenience arising from Equipment malfunction.
10. Limitation of Liability
KAMERALENDS' total liability to the Customer under or in connection with this Agreement shall not exceed the Rental Fee paid for the relevant booking. KAMERALENDS is not liable for any indirect or consequential loss, including loss of photographs or data, loss of enjoyment, or loss of anticipated content.
Nothing in this Agreement excludes or limits KAMERALENDS' liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited by law.
11. Data Protection
KAMERALENDS collects and processes personal data in connection with this Agreement, including name, contact details, payment information, identification photographs, and booking history. All personal data is processed in accordance with our Privacy Policy. Identification photographs taken at handover are stored securely and deleted within 30 days of satisfactory return, or retained until any dispute is resolved.
12. General Provisions
This Agreement, together with the Booking Confirmation and Privacy Policy, constitutes the entire agreement between the parties in respect of the rental of the Equipment. If any provision is found to be invalid or unenforceable, the remaining provisions shall continue in full force. A failure by KAMERALENDS to enforce any provision does not constitute a waiver of its right to do so in future. This Agreement is governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
